What it is
- On site only. We come to your office. There are no public sessions.
- Half a day. Four hours, including two short breaks and 70 minutes of hands-on work.
- Up to 20 staff. AP and AR clerks, payroll and HR coordinators, office managers, dispatchers, controllers and owners. Nobody needs a technical background, and nobody writes code.
- $3,500, fixed. That covers the session, the slides, and a printed handout for everyone in the room.
The rule we repeat all day: nothing that moves money or goes to a customer happens without a person approving it.
The agenda
| Time | Block |
|---|---|
| 0:00 | Welcome. What today is and isn’t, and the one rule. Sample data only, no recording. |
| 0:15 | How it works, and where it breaks. Why it can’t know your business unless you hand it the document, the ways it goes confidently wrong, and a five-question checking habit. |
| 0:45 | Exercise 1: catch the confident mistake. Five sample invoices, one wrong total, one duplicate, and one question the data can’t answer. |
| 1:05 | What not to paste. How leaks happen, a red, yellow and green list, cloned voices and fake payment-change requests, and the callback rule. |
| 1:35 | Prompting that holds up. The instruction you’d give a new hire, the same format every time, and a shared prompt library. |
| 2:05 | Exercise 2: timesheet notes into a clean file. Messy notes into fixed columns, then run it again to see whether the format holds. |
| 2:30 | Documents and assistants, safely. Pulling data out of invoices with a “not found” rule, answers from your own procedures, and tools that draft while a person approves. |
| 3:00 | What it’s worth. A baseline in two numbers, cost per item, payback, and when the answer is “don’t automate it.” |
| 3:25 | Exercise 3: price one process. In pairs, on the cost worksheet, with rough numbers. |
| 3:50 | Policy and next steps. A one-page AI-use policy, and what to try on Monday. |
What everyone leaves with
Every attendee leaves with the handout: a prompt library, a what-not-to-paste checklist, a cost worksheet and an AI-use policy template. Your team also gets the slides.
- A prompt library. Six tested prompts for vendor replies, meeting notes, thread summaries, invoice extraction, timesheets and “answer only from this document.”
- A what-not-to-paste checklist. Red, yellow and green, three questions to ask before pasting, and the callback rule for payment requests.
- A cost worksheet that turns “this takes forever” into hours a week, cost per item and payback.
- A one-page AI-use policy, ready for the owner to fill in and sign.
Every figure in the workshop is an example with sample inputs, not a result. Your team swaps in its own numbers.
After the workshop
The last exercise asks each pair to price one process. The one that comes up most is where a free diagnostic starts, for companies that qualify: we map that process with your team, and it ends with a live demo of the fix in a sandbox. We don’t sell during the session.
Questions
What do we need to provide?
A conference or training room with a projector and Wi-Fi, and a computer for each person or each pair. We bring printed handouts for everyone.
Will anyone see our data?
No. Every exercise uses the sample data printed in the handout. We never ask for, view or collect company records, and nobody pastes them during the session. Nothing is recorded.
Which AI tool do we use?
Whichever one your staff are approved to use. If there isn’t one yet, any free chat assistant works with the sample data, and choosing a business plan becomes part of the discussion.
Can we send people to a public session?
We don’t run public sessions. For one person, or for a team that wants to go at its own pace, our courses cover the same ground and are free for individuals.
Is this legal advice?
No. The rules section covers what to ask your lawyer, not the answers.
