Back-office process work · San Diego

We’re going to make you do exactly what you can already do. Just a little bit faster.

We fix the slow, repetitive office work at San Diego companies with 20 to 200 people. Lien waivers, invoices, timesheets, paperwork that gets typed twice. One process at a time, at a fixed price.

Someone at your company is copying data from one system into another. By hand.

Timesheets into payroll. Sub invoices into QuickBooks. Insurance certificates into a spreadsheet somebody checks when they remember. It works, and nobody has time to fix it.

Nobody wants a transformation. They want the invoice thing to stop taking six hours.

That’s the work we do. We find the process that eats the most hours, measure it, fix it, and keep the fix running.

Common fixes

The step between two systems

Your software already does its own job. The hours go into the gaps between the programs, where a person carries the data across by hand.

  1. 01

    Insurance certificates and lien waivers

Tracking which subs are covered, what expires this month, and which waivers are still missing before a draw.

    Construction
  2. 02

    Invoices into accounting

Vendor and sub invoices read, matched and queued in QuickBooks or your ERP instead of typed in one at a time.

    Every office
  3. 03

    Timesheets into payroll

Client timesheets that arrive as PDFs, spreadsheets and emails, turned into one clean payroll file.

    Staffing
  4. 04

    Rate confirmations and delivery paperwork

Rate cons, bills of lading and proof of delivery pulled into your system and matched to the carrier invoice.

    Logistics
  5. 05

    Work orders

Requests from calls, emails and texts logged, sorted and sent to the right person without someone retyping them.

    Property management

We work with the software you already pay for.

Procore, QuickBooks, AppFolio, your ERP. We connect them and turn on the features you’re not using. We don’t sell you a new system.

Nothing moves money without a person approving it.

We automate the reading, sorting and typing. Payments, payroll and anything that leaves the building still get a human click.

The diagnostic

Two days with your team, working out how work actually moves through your office and what it costs. You keep the written report whether or not you hire us for anything else.

Bring the owner or controller to the final readout. That’s where the decision on a fix gets made.

Toward a build signed within 60 days
  1. We interview the people who do the work and trace your slowest processes end to end.
  2. We measure each one: hours per week and cost per invoice, timesheet or work order. That’s your baseline.
  3. You get one ranked recommendation: what to fix first, the fixed price, and the payback we expect.
  4. If nothing is worth fixing, the report says so.

How it works

Every step has a fixed price, low enough that a department head can approve it without taking it to the board.

  1. 01 · Diagnostic $1,500

Two days. We find the slow process and measure what it costs you.

  2. 02 · Build $5,000–$15,000

About two weeks, fixed price. One process, the one from the report. The target is 2–4x what you paid, back in time saved, measured against the baseline.

  3. 03 · Keep it running $300–$500 / month

We host it, watch it, and fix it when something upstream changes. $300 gets a response the next business day. $500 gets one within four business hours.

Your accounts, your data, your logins. Every build is documented, so you’re never stuck with us.

We did it to ourselves first.

We run a small San Diego manufacturer, Improvised Electronics, that sells training equipment to the military and to police bomb squads. Before we sold this work to anyone, we did it to our own back office.

  • Our CRM checks federal contract databases for new opportunities every six hours.
  • Incoming email is sorted before anyone opens it.
  • Every morning the team gets a digest of what’s waiting on whom.
  • We send our own marketing email instead of paying Mailchimp.
  • We host all of it ourselves.

Same company, same work, fewer hours spent copying things.

Who it’s for

San Diego companies with 20 to 200 people and a busy back office: construction, logistics, light manufacturing, property management, staffing.

We speed up the people you have. If the goal of a project is to cut staff, we’re the wrong firm.

We don’t do medical, legal, or anything built on sensitive personal data. That work needs a different kind of firm.
